Why Time Blocking Finally Worked for Me

For the longest time, I thought my to-do list was enough.

Every morning, I’d write down everything I wanted to accomplish and tell myself that today would be productive. I knew exactly what needed to be done, so I assumed everything would naturally fall into place.

It rarely did.

By the end of the day, I’d crossed off a handful of small tasks, answered countless emails, and dealt with whatever came my way. Yet somehow, the work that mattered most was still waiting for me.

I used to wonder where all my time had gone.

Looking back, I realised the problem wasn’t that I didn’t have enough time.

The problem was that I hadn’t decided when I was going to use it.

That simple realisation completely changed the way I plan my days.

Why To-Do Lists Weren’t Enough

I still believe in writing down my tasks.

The problem wasn’t the list itself.

The problem was that every task stayed on the list all day, competing for my attention.

Without a clear plan, it was easy to jump between emails, messages, admin work, and smaller jobs that felt urgent in the moment.

My most important task was always there, but somehow it was also the easiest one to postpone.

I realised that a to-do list tells you what needs to be done.

It doesn’t tell you when you’re actually going to do it.

And that’s where I kept getting stuck.

The Shift That Changed Everything

Instead of hoping I’d find time later, I started making time before my day even began.

That one change completely changed the way I work.

Rather than leaving my most important task to chance, I blocked a dedicated period in my calendar and treated it like any other important appointment.

Once that time was protected, I no longer had to decide when to start.

The decision had already been made.

It removed so much mental friction because I wasn’t constantly negotiating with myself throughout the day.

How I Combine Time Blocking and the 1-3-5 Method

For me, the 1-3-5 Method and time blocking work hand in hand.

Every morning, I begin by choosing my one big task, three medium tasks, and five smaller tasks.

That gives me clarity.

Then I look at my calendar and block time for my one big task before anything else has a chance to fill my day.

The 1-3-5 Method tells me what deserves my attention.

Time blocking makes sure it actually happens.

I’ve found that this simple combination removes so much unnecessary decision-making.

Instead of wondering what I should work on next or hoping I’ll have time later, I already know exactly where my attention belongs.

It Doesn’t Have to Be Perfect

One thing I used to misunderstand about time blocking was that I thought it meant planning every minute of the day.

That sounded exhausting.

Today, I do the opposite.

I only block the time that really matters.

Usually, that’s my one big task.

The rest of the day can stay flexible.

Unexpected things will always come up, and that’s completely normal.

Time blocking isn’t about creating a perfect schedule, it’s about making sure your most important work doesn’t get pushed aside by everything else.

That simple shift has made my days feel much calmer.

Why It Works

I’ve realised that getting started is often the hardest part.

Once I begin working on something meaningful, it’s usually much easier to keep going.

Time blocking helps me overcome that first hurdle because the decision has already been made.

Instead of asking myself, “Should I start now?”, I simply follow the plan I created earlier.

It’s a small change, but it has made consistency feel much more achievable.

One Last Thought

For years, I kept hoping I’d magically find more time during the day.

The truth is, that moment rarely arrived.

Now I don’t wait for time to appear.

I make space for what matters before my day has a chance to fill up with everything else.

I’ve learned that time blocking isn’t about controlling every minute of your schedule.

It’s about protecting the work that’s most important to you.

Because once you stop leaving your priorities to chance, making meaningful progress becomes so much easier.
